How to Enable and Enforce Customer Credit Limits
To manage your business's cash flow and reduce unpaid balances, you can assign a maximum credit limit to specific customers. By enabling the Credit Limit feature, your point-of-sale (POS) system will automatically monitor customer balances. If a customer attempts to make a purchase that pushes their outstanding balance over their assigned limit, the system will block the transaction and require an Admin password to proceed.
Part 1: Enabling the Credit Limit Feature Globally
First, you need to turn on the credit monitoring function in your main settings.
- Navigate to your main Settings and open the POS Global Settings window.
- Scroll through the settings list until you locate the option labeled Enable Credit Limit.
*[Image: POS Global Settings window highlighting the Enable Credit Limit toggle switch]* - Click the toggle switch to enable it (turn it ON).
- Click the Save Settings button in the bottom right corner of the window to apply your changes.
Part 2: Assigning a Credit Limit to a Customer
Once the global setting is on, you must define the specific credit amount allowed for individual customers in the backend.
- Open your system's Backend dashboard and navigate to the Customers list.
- Locate the specific customer you want to update (e.g., "Khan") and click the Edit button next to their profile.
- In the customer edit window, scroll down to the financial fields and locate the Credit / Debit Limit text box.
*[Image: Edit Customer backend window showing the Credit / Debit Limit input field]* - Enter the maximum amount of credit you wish to extend to this customer (for example, type "15").
- Click the green Update button at the bottom of the screen to save the customer's new profile settings.
Part 3: How the System Enforces the Limit
The POS system will now actively prevent standard staff members from checking out orders that exceed this specified amount.
- Return to the main POS order screen and select the customer you just updated.
- Add items to their cart so that the total order amount goes above their approved credit limit (for example, creating a grand total of 19.75 when their limit is 15).
- When the staff member clicks Save Order & Print, the system will immediately halt the transaction.
- A warning pop-up will appear stating: "Credit Limit Exceeded! Please enter admin password for authentication."
*[Image: Warning pop-up alert stating the credit limit is exceeded, showing a password input field for admin authorization]* - To bypass the block and force the order through, an authorized manager must type the Admin Password into the field and click Authorize Request. Otherwise, the order must be canceled or paid for immediately.
Security Note
Do not share your Admin password with standard cashiers. The purpose of this feature is to require a manager's physical presence and approval when a customer wishes to take items on credit beyond their agreed-upon limits.
