How to Enable Automatic WhatsApp Notifications for Invoices

Providing a final digital invoice after a payment is collected is a great way to maintain clear communication with your customers. By enabling the Always send WhatsApp for Invoice feature, your point-of-sale (POS) system will automatically prompt you to share a digital invoice link to the customer's WhatsApp as soon as an order is updated with a payment.

Part 1: Enabling the WhatsApp Invoice Feature

First, you need to turn on the global setting that triggers the WhatsApp prompt specifically for completed invoices.

  1. Navigate to your main Settings menu and open the POS Global Settings window.
  2. Scroll through the settings list until you locate the option labeled Always send WhatsApp for Invoice.

  3. Click the toggle switch to enable it (turn it ON).
  4. Click the Save Settings button in the bottom right corner to apply your changes.

Part 2: Sending the Invoice After Payment Update

Once enabled, the system will look for moments when you update an existing order with a payment amount to trigger the invoice notification.

  1. From your POS dashboard or records menu, open your active orders list (e.g., by clicking "Orders made today").
  2. Locate and open the specific Job Order you wish to finalize and invoice.
  3. In the payment and tender screen, click into the Amount text box and enter the payment amount being received from the customer (e.g., "6.00").

  4. Click the Update Order & Print button at the bottom right of the window to log the payment and finalize the invoice.
  5. A confirmation window will pop up stating: "INVOICE CREATED! Please click the below link to send WhatsApp."

  6. Click the provided link in the pop-up to instantly send the final digital invoice to the customer's WhatsApp.

Difference Between Order vs. Invoice Notifications

The POS system offers two distinct WhatsApp features. "Always send WhatsApp for Order" sends a receipt immediately when the initial order is taken. The feature covered in this guide, "Always send WhatsApp for Invoice", specifically sends a final receipt only after the order is updated with a payment. You can choose to enable one or both depending on your communication preferences.
