How to Enable Automatic WhatsApp Notifications for Orders
Providing digital receipts is a great way to improve customer experience and reduce paper waste. By enabling the Always send WhatsApp for Order feature, your point-of-sale (POS) system will automatically prompt you to share a digital invoice directly to the customer's WhatsApp the moment an order is saved.
Part 1: Enabling the WhatsApp Feature
First, you need to instruct the system to trigger the WhatsApp workflow globally.
- Navigate to your main Settings and open the POS Global Settings window.
- Scroll through the settings list to locate the option labeled Always send WhatsApp for Order.
*[Image: POS Global Settings window highlighting the "Always send WhatsApp for Order" toggle switch]* - Click the toggle switch to enable it (turn it ON).
- Click the Save Settings button in the bottom right corner of the window to apply your changes.
Part 2: Sending the WhatsApp Invoice During an Order
Once enabled, the system will automatically handle the notification process when you complete a transaction.
- Return to your main POS dashboard and begin a new order.
- Select a customer from the top search bar and add their desired items or services to the cart.
- To finalize the transaction, click either Save Order No Print or Save Order & Print from the right-hand action menu.
- Instead of simply clearing the screen, an alert window will pop up stating: "INVOICE CREATED! Please click the below link to send WhatsApp."
*[Image: Pop-up alert confirming invoice creation with a link to share the invoice to WhatsApp]* - Click the provided link (or confirm the prompt). The system will automatically prepare and send the invoice link directly to the customer's registered WhatsApp mobile number.
Important Requirement
For this feature to work successfully, the selected customer profile must have a valid mobile number saved in the system that is actively registered with WhatsApp. If the customer does not have a valid number, the message will fail to deliver.
