How to Require an Admin Password for Deleting Invoices
To enhance security and prevent unauthorized removal of sales records, you can configure your POS system to require an administrator password before any invoice can be deleted. This guide explains how to enable this security feature and outlines the workflow your staff will experience when attempting to delete an order.
Part 1: Enabling the Admin Password Requirement
First, you need to activate the restriction within your POS settings.
- Navigate to your system settings by opening the Global Settings menu, then click on the POS Local Settings tab.
- Scroll through the configuration options until you locate the setting labeled Delete Invoice with Admin Password.

- Click the toggle switch to turn it on. The switch will turn green, indicating that the feature is now enabled.
- To apply these changes, click the Save Settings button located at the bottom right corner of the screen.
Part 2: Deleting an Invoice (Admin Authentication)
Once the setting is enabled, the system will prompt users for authorization during the deletion process. Here is how the new workflow looks:
- Navigate to the order list or search for the specific invoice you wish to remove.

- Click the red Delete icon next to the relevant invoice.
- A Delete Confirmation!! pop-up will appear. Choose your preferred deletion method by clicking either DELETE BOTH INVOICE AND ORDER or DELETE INVOICE.
- A secondary warning will appear, advising you that the action is permanent and the invoice data cannot be recovered. Click OK to acknowledge the warning.

- An Authentication Required pop-up will now block the action, stating: "Please enter admin password for authentication."
- Type the correct Password into the provided text field.
- Click Authorize Request (or click OK) to submit the password and finalize the deletion.
Security Note
If a staff member attempts to delete an invoice without knowing the correct admin password, the system will reject the request and the invoice will remain securely stored in the system. This ensures complete control over your business records.
