Delivery Note Management

A Delivery Note (DN) is a formal document sent with a shipment of goods to confirm what items have been delivered to the customer. It is typically issued by the seller at the time of delivery and signed by the customer upon receipt.

Delivery Notes generally include the item names, quantities, and delivery details. While they do not usually display item prices, prices can be included if required. This document serves as a crucial verification step before final invoicing.

1. Viewing and Filtering Delivery Notes

To access the Delivery Note module, navigate to the Sales tab in the main left-hand menu and select Delivery Note.

  • Filtering: Use the top filter bars to narrow down records by Branch, specific Dates, or Status.
  • Color Coding:
    • Red rows: Delivery Notes that are pending and have not yet been approved.
    • Green rows: Delivery Notes that have been completely approved and converted into invoices.

2. Creating a New Delivery Note

To issue a new Delivery Note to a customer, follow these steps:

  1. Click the blue + Add New button located in the top right corner of the Delivery Note list.
  2. The system will automatically generate a unique Voucher/Delivery Note Number.
  3. Select the issuing Branch from the dropdown menu.
  4. Choose the Customer Account and the specific Customer Contact receiving the delivery.
  5. Verify the Currency & Ex.Rate (Exchange Rate) being used for this transaction.
  6. Select the Driver who will be delivering the items.
  7. If applicable, assign a Salesman from the dropdown list.
  8. Set the Dispatch Date to indicate when the items will leave your facility.
  9. Select the Type of delivery note by clicking the corresponding radio button: Product, Service, or Other.
  10. Check the Tax Billing box if this delivery involves taxable items (if applicable).
  11. Enter any additional information in the Remarks/Notes text field.

3. Adding Products and Adjusting Settings

  1. In the Product tab at the bottom of the screen, click inside the item grid to search for and select the products being sold and delivered.
  2. Enter the exact Quantity (Qty) being dispatched.
  3. Managing Item Pricing (Rates): By default, prices may show. Because standard Delivery Notes usually only display items, barcodes, and quantities (omitting prices), you can adjust this.
    • Click on the Settings tab located next to the Product tab.
    • Find the rate-related visibility settings to remove or hide the pricing from the final document.
  4. Once all items and settings are configured, click the blue Save button at the bottom right.

4. Viewing, Printing, and Exporting

After saving, you can click on any Delivery Note in the list to open its detailed view. From here, several actions are available:

  • Print: Click the Print button to generate a formatted PDF document. This printout will display the Customer Name, Address, Serial Number, Dispatch details, and an itemized list of goods to be handed to the driver.
  • Print Barcode: Generate scannable barcodes for the items on the delivery note.
  • Export to Excel: Download the Delivery Note data as a spreadsheet for your records.
  • Delete: Remove the Delivery Note entirely (if you have the necessary permissions).

5. Managing Attachments and Approvals

Inside the detail view of a specific Delivery Note, you will notice several tabs across the top:

  • Attachments Tab: Click this tab to upload supplementary documents. You can easily drag and drop files directly into the designated area.
  • Approvals Tab: If your workflow requires authorization, an Administrator can review the document and grant approvals directly from this section.

6. Editing an Existing Delivery Note

If you need to make corrections (such as altering quantities or removing items) before the final invoice is processed:

  1. Locate the Delivery Note in the main list.
  2. Either double-click the row or click into the record and select the Edit button.
  3. Make the necessary changes. You can adjust the quantity of an item, add new items, or click the red 'X' icon next to a product to remove it completely.
  4. Click the Update button at the bottom of the screen. A success message will appear in the top right corner confirming your changes have been saved.

Best Practices

Always ensure the correct driver is assigned and the dispatch date is accurate before printing the document. Remember that a Delivery Note acts as a binding receipt of goods; ensuring the customer signs it upon delivery is critical for preventing future invoicing disputes.
